How 2 Use Fax And Scan In Windows Vista

Click the START button.

 

 

Click ALL PROGRAMS.

 

 

Click WINDOWS FAX AND SCAN.

 

 

The fax and scan will now open.

 

You can see in the left pane you have an INCOMING, INBOX, DRAFTS, OUTBOX, and a SENT ITEMS folder.

 

The first thing to do is setup a Fax account.

 

 I know this because in the lower right of my window it shows NO FAX ACCOUNTS ARE CONFIGURED.

 

So I will click on TOOLS and select FAX ACCOUNTS from the drop down list.

 

 

You are now presented a window and I must click ADD.

 

 

Now I have two options the first is CONNECT TO A FAX MODEM and the second is CONNECT TO A FAX SERVER ON MY NETWORK.

 

Since I do not have a network I must click CONNECT TO A FAX MODEM.

 

 

I can give a NAME if I choose.

 

I also have two options with the first being USE BY DEFAULT FOR SENDING FAXES and DO NOT USE BY DEFAULT FOR SENDING FAXES.

 

I will leave my settings as shown and click NEXT.

 

 

I now have more options to choose from and the first being ANSWER AUTOMATICALLY (recommended), NOTIFY ME, and

I’LL CHOOSE LATER; I WANT TO CREATE A FAX NOW.

 

I will go with first option ANSWER AUTOMATICALLY.

 

 

This is my final box in the step so I will click CLOSE.

 

 

Now you can see in the status bar ALL FAX ACCOUNTS ARE ACCESSIBLE so I can proceed to use the Fax service.

 

I will now click on NEW FAX to get things started.

 

 

I am given the option of whom TO: send this Fax out to and if I click the TO: button I will see my list of Contacts that I have compiled.

 

If I do not have a list of Contacts then I just type in the number in the first box.

 

I also can specify a COVER PAGE by clicking the NONE button and making a selection from the list.

 

I can also select the DIALING RULE of choice from a list under the NONE button.

You also have the option on the main page to click SCAN.

 

 

This would give you the option to work with a scanning device to scan and Fax from the software.

 

I will not cover this at this time and go back to the Fax options.

 

 

Now back on the main page I can click TOOLS and select SENDER INFORMATION from the list.

 

 

I can now type in all of my information and it will show up in my cover pages.

 

 

I will select TOOLS and select COVER PAGES from the drop down.

 

 

This allows you to setup your own customizable cover pages.

 

You would click on NEW.

 

 

Then edit the page and create a business type Cover Page.

I will now click on TOOLS and select CONTACTS from the list.

 

 

This will open up Windows Contacts so you could just select a name from the list if you had any.

 

 

I can also click TOOLS and click FAX STATUS MONITOR from the list of options.

 

 

Here you can see we are READY TO SEND OR RECEIVE A FAX which is a good thing.

 

I will click CANCEL at this point.

 

 

I will now go to TOOLS and select FAX SETTINGS from the list.

 

 

I start out by default on the GENERAL tab.

 

You can see I show here my modem I have installed next to DEVICE NAME.

 

You can click the options of ALLOW THE DEVICE TO SEND FAXES and ALLOW THE DEVICE TO RECEIVE FAX CALLS.

 

 

On the TRACKING tab you can change the NOTIFICATIONS area to your preferences.

 

You can also change settings in the FAX MONITOR area to your liking.

 

You can click the SOUND OPTIONS to have a sound ding you when a Fax arrives.

 

 

You can make the decision here if you do or do not want to INCLUDE BANNER IN SENT FAXES.

 

You can adjust the RE-DIALING attempts to your liking.

 

 

Then you have the SECURITY tab which you can restrict who has the ability to Fax and Scan on your computer.

 

 

We now go to TOOLS and select OPTIONS from the list.

 

 

This is simple stuff that starts you on the GENERAL tab.

 

For you to choose whether or not to play sound.

 

 

You can decide if you would like to know if the Fax you sent made it to the recipient on the RECEIPTS tab

 

By placing your email address in the box next to E-MAIL TO: you would receive the email once they receive the Fax

notifying you that it transmitted successfully.

 

If you need to keep a record of the Fax then you can click ATTACH A COPY OF THE SENT FAX for your use.

 

 

On the SEND tab you could INCLUDE ORIGINAL MESSAGE IN REPLY if you were replying to a Fax.

 

 

And finally on the COMPOSE tab you could choose your FONT SETTINGS.

 

 

 

This Ends The Task Of Using Fax But I Have One Other Thing to Show You

Go to the START button.

 

 

Click ALL PROGRAMS.

 

 

Click on WINDOWS MAIL.

 

 

You can use this client to send an email as a Fax.

 

So I have a test message shown here from MICROSOFT WINDOWS M that I will double click on.

 

 

This box will open and I can click on the small PRINTER icon in the top bar.

 

 

Now I have an option of selecting a Printer.

 

You would click to highlight FAX from the list and then click PRINT.

 

 

I would now see the new FAXING FROM MY EMAIL window and I would place in a SUBJECT then specify a recipient in the TO: box then click SEND.

 

 

I am asked for some dialing information so I will enter an AREA CODE and click OK.

 

 

You would click OK here.

 

 

Now go back to WINDOWS FAX AND SCAN and you can see in my OUTBOX the sent fax is shown and they are PENDING.

 

I cannot really send the Fax because I do not have a real modem running, but If I did I should find the sent email/FAX

In the SENT ITEMS folder not the OUTBOX.

 

If you keep finding your sent Email/Fax messages in the OUTBOX then you may have an issue that needs to be resolved.
