How 2 Configure Multiple Printer Objects On The Server

Go to START/SETTINGS/PRINTERS AND FAXES.

 

 

I have a single printer installed and used by both Finance and the Engineering departments.

 

 

I will click ADD PRINTER.

 

 

Click NEXT on the Wizard screen.

 

 

I will leave this set to LOCAL PRINTER ATTACHED TO THIS COMPUTER.

 

Click NEXT.

 

 

I will leave this new printer on LPT1 printer port even though my other printer is using the same port.

 

Click NEXT.

 

 

I am going to use the same printer as the one I already have installed.

 

Click NEXT.

 

 

I will KEEP EXISTING DRIVER since they are the same printer.

 

Click NEXT.

 

 

I will give this printer a name that is customized for the Engineers.

 

Select NEXT

 

 

I have placed in ENGINEERING in the SHARE NAME box.

 

Click NEXT.

 

 

You will need to give a LOCATION and a COMMENT.

 

I have added in my COMMENT box LOW PRIORITY PRINTER.

 

Placing this in the Comment field helps later when using the printer to know how it is setup.

 

Click NEXT.

 

 

I will select NO for a test page.

 

Click NEXT.

 

 

Click FINISH.

 

 

I will rename my existing printer to Finance.

 

You will right click the printer then select RENAME from the list.

 

 

You can see I have two printers.

 

One for Finance and one for Engineering.

 

They are both on LPT1 ports and they both are using the exact same drivers.

 

I will right click on the FINANCE printer and select PROPERTIES.

 

 

I will click on the SECURITY tab.

 

I will highlight anyone or group that does not need access to the printer and REMOVE them from the list.

 

 

You will click on the SECURITY tab.

 

You can see here I allowed the ADMINISTRATORS to remain and I clicked the ADD button and added the FINANCE group.

 

I gave the FINANCE group ALLOW rights for PRINT, MANAGE PRINTERS, and MANAGE DOCUMENTS.

 

Click OK.

 

 

I will now right click the printer for the Engineers and click PROPERTIES to perform the same function.

 

 

I will click on the SECURITY tab.

 

I will remove everyone and every group from the list except the ADMINISTRATORS group.

 

Highlight each user or group and click REMOVE.

 

 

You will now click on the ADD button.

 

 

Add the ENGINEERING group.

 

You can see here I allowed the ADMINISTRATORS to remain and I clicked the ADD button and added the ENGINEERING group.

 

Give the group the ALLOW rights for PRINT, MANAGE PRINTERS, and MANAGE DOCUMENTS.

 

Click OK.

 

 

You can see I now have two printers that will print to the same port.

 

One for FINANCE and one for ENGINEERING.

 

 

I will now set priorities on the printers.

 

Finance needs a higher priority than the Engineers.

 

I will right click on the Finance printer and select PROPERTIES.

 

 

Click on the ADVANCED tab.

 

You can adjust the PRIORITY up and down.

 

I will set this printer at 99.

 

NOTE: If this is set to 1 then it is less of a priority but setting this to 99 is a higher priority.

 

Click OK.

 

 

I will now right click the ENGINEERING printer and select PROPERTIES.

 

 

I will click the ADVANCED tab.

 

I will set the PRIORITY level to 1 on this printer.

 

Click OK.

 

 

I now have both printers setup and Finance will have priority over the Engineers.

 

If they both print at the same time the Finance print job will come out first.

 

 

 

NOTE: With this setup you will have only one physical printer.

 

NOTE: This is opposite of Printer Pooling in that this setup uses one printer and the Printer Pooling uses two or more physical printers.
